What is Extension?

An extension is a short internal number, often 3 or 4 digits. It routes a call to a specific person or department within a business phone system, without needing a full external phone number for each one.

Instead of giving every team member a separate 10-digit phone number, a business assigns each person or department a short extension (like 101, 102). Callers reach that person by dialing the extension directly or through an auto-attendant menu.

Extensions make internal routing simpler to manage and remember: "dial 105 for billing" is easier to communicate than a full phone number. Extensions can also be reassigned when staff change, without affecting the main business number.

On cloud phone systems, extensions often work across devices too. Dialing extension 102 can ring that person's softphone, desk phone and mobile app at once, wherever they are.

Worked example

A 7-person clinic assigns extensions 101 through 107 to each staff member, announced in the auto-attendant menu.

Patients reach the right person directly by dialing an extension instead of the front desk redirecting every call manually.

Why it matters to a small team

For a small team, extensions cut down on manual call transfers. A caller (or an auto-attendant) can route directly to the right person, without the business needing a separate phone number for everyone.

What happens if I dial an extension that no longer exists?

Most systems route it to a default like the receptionist, main queue or a "please try again" message, rather than letting the call fail silently.
