What is Call Recording?

Call recording automatically saves audio of business phone calls for playback later, used for training, dispute resolution and quality checks. Recordings are usually stored in the cloud and searchable by date, caller or team member.

Most cloud phone systems record every call by default or let a team turn it on per number or per line. Recordings save automatically to a searchable library, often alongside a transcript. A manager can review a call without listening to the whole thing.

For a small team, recorded calls settle "he said, she said" disputes about what a customer was quoted. They also help onboard a new hire by letting them listen to real calls, and provide a paper trail if a complaint escalates.

Recording laws vary by state and country: some require only one party to consent, others require everyone on the call to agree. A compliant setup plays a short notice at the start of the call or during onboarding. The safest default is to assume all-party consent applies.

Worked example

A 5-person insurance agency records every sales call and stores them for 2 years.

When a client disputes a policy detail 8 months later, the agency pulls the exact recording in under a minute instead of relying on memory.

Why it matters to a small team

For a small business without a dedicated compliance or QA team, call recording is the cheapest way to protect against disputes. It also helps train new hires on real conversations instead of a script alone.

Frequently asked questions

Is call recording legal for a small business?

Yes, but consent rules vary. Some US states and most of the UK allow recording with only one party's consent, while roughly a dozen US states require everyone on the call to agree. A recorded notice at the start of the call covers most situations.

How long should call recordings be kept?

There is no universal rule; many businesses keep recordings 1 to 2 years for dispute and training purposes, longer if regulated (such as financial services). Storage cost and privacy exposure both rise the longer recordings are retained.

Can customers ask for their call recording to be deleted?

In the UK and EU, yes, under GDPR customers can request deletion of personal data including call recordings, with limited exceptions. US rules vary by state, with fewer blanket deletion rights outside specific sectors.

Does call recording work automatically or does someone start it?

Most cloud phone systems support both: always-on recording for every call on a line, or manual start/stop per call. Always-on is simpler to manage and ensures nothing is missed, but needs clear consent language up front.
