What is Ring Group?

A ring group is a set of phones or team members that all ring together (or in sequence) when one shared number is called. Any available person can pick up, rather than the call depending on one fixed line.

Instead of a call going to a single extension, a ring group sends it to several people at once, or one after another. It keeps ringing until someone answers. It suits any task shared across more than one person, like sales or support.

Ring groups can be configured to ring everyone simultaneously for the fastest possible pickup. Or they can ring in sequence (first the most senior person, then the next) to control who takes priority on incoming calls.

If nobody in the group answers within a set time, most systems fall back to voicemail or another ring group. That way, calls do not simply ring out unanswered when the whole team happens to be busy.

Worked example

A 4-person customer support team shares responsibility for one incoming support line.

They set up a ring group of all 4 phones ringing at once, so whoever is free answers first, and calls only reach voicemail if all 4 are already on other calls.

Why it matters to a small team

For a small team sharing responsibility for one line, a ring group removes the need to designate a single "phone person." It spreads the load and cuts missed calls without adding any extra numbers.

Frequently asked questions

What is a ring group?

A ring group is a set of phones or team members configured to ring together when one shared number is called, so any available person in the group can answer rather than the call depending on one fixed line.

How is a ring group different from simultaneous ring?

They are closely related. Simultaneous ring usually refers to multiple devices for one person ringing at once, while a ring group typically refers to multiple different people or extensions sharing responsibility for one number.

Can a ring group have a fallback if nobody answers?

Yes, most systems let a ring group fall back to voicemail, another ring group, or an auto-attendant message after a set number of rings, so calls are never simply left unanswered.
